Turn a Messy Process Into a One-Page SOP a New Hire Can Follow

Dump how you do a task, let AI shape it into a one-page procedure with fixed headings, mark unknowns instead of guessing, then test it on someone who has never done it.

The useful result

Produce a one-page procedure that someone new can follow without asking you questions.

  • Produce a one-page procedure that someone new can follow without asking you questions.

The work lives in your head: you know to check the order number first, which folder holds the template and what to do when the client replies late. A new helper has none of that. Writing an SOP, a standard operating procedure, feels like a day of work, but AI can turn a rough explanation into a clean first draft in minutes.

The catch is that an assistant will happily fill gaps with plausible steps that you do not actually follow. So the method here marks missing information as unknown and ends with the only test that matters: can a newcomer do the task from the page alone?

The examples below are illustrative exercises, not recorded results from any tool. Sources were checked on 24 October 2026; menus, limits and prices change, so confirm details on the linked pages.

Before you start

  • A task you do regularly, such as sending an invoice or publishing a post
  • Ten minutes to explain it aloud or type rough bullets
  • One person who has never done the task

1

Dump the process exactly as you do it

Describe the task from start to finish, in the order you do it. Include the tools, file names, who is involved, what “done” looks like and the two mistakes you have made before. Do not tidy it. Speaking it into a voice note or typing messy bullets both work.

Check your result

Your dump includes tools, names, order, a definition of done and at least one common mistake.

2

Shape it into fixed headings and flag the unknowns

Ask the AI to turn the dump into a one-page SOP with fixed headings, one action per numbered step and verbs first. Tell it to write [UNKNOWN: question] wherever the dump does not say, instead of inventing a step. Then answer each unknown yourself.

Try this prompt
Turn the rough description below into a one-page SOP. Use these headings: Purpose, Owner, When to use it, What you need, Steps, Check before finishing, Common mistakes, Done means. Steps must be numbered, one action each, starting with a verb. Do not invent anything. Where information is missing, write [UNKNOWN: your question] and keep going.

Example / expected result

Illustrative example; not a recorded model result.

“3. Open the order in the shop dashboard and copy the order number into the invoice template.” Illustrative unknown: “[UNKNOWN: Which email address do invoices come from?]”

Check your result

The draft has every heading, no invented steps, and each unknown is either answered or still marked.

3

Test it on a newcomer while you stay silent

Give the page to someone who has never done the task and watch them follow it without helping. Write down every question and every hesitation. Each one is a missing or unclear step. Fix those lines, then date the SOP and name an owner who will update it.

Check your result

The newcomer finished the task using only the page, and every question they asked is now answered in the text.

When it goes wrong

A tidy SOP can describe what you wish you did, not what you do. Passwords and secrets do not belong in the document; point to where they are stored. SOPs go out of date, so give it a review date and an owner.

Make it your own

Write an SOP for a five-minute task you do weekly. Hand it to someone else, record each question they ask, and update the page until they can finish without help.
